Plastic Pallet RFQ Checklist: What Buyers Must Define Before Comparing Quotes
Lock load conditions, support method, material route, testing, and acceptance rules before comparing plastic pallet quotes.
Most plastic pallet sourcing mistakes are created in the RFQ, not on the production line. If the request for quotation does not define the real load, support method, handling equipment, and acceptance rule, suppliers will quote different assumptions. The prices may look comparable, but the products are not the same.
Use this page to turn a pallet RFQ into a controlled comparison. The goal is not to write the longest specification. It is to make sure procurement, warehouse operations, and suppliers are quoting the same job before samples or pricing are approved.
What a usable pallet RFQ should accomplish
An RFQ should let the supplier answer three practical questions:
- What work must the pallet do?
- Under what support and handling conditions must it do that work?
- What evidence is required before the buyer treats the quotation as technically compliant?
If the RFQ cannot answer those questions, the quote is still based on guesswork.
The 12 specification blocks that matter most
1. Use-case mix
State whether the pallet will be used for:
- one-way export;
- closed-loop circulation;
- floor staging only;
- beam-rack storage;
- conveyor or automation contact;
- mixed routes across more than one warehouse.

2. Load profile
Do not send only one load number. Provide:
- normal working load;
- highest regular load;
- product footprint on the deck;
- whether loads are uniform, partial, or point-loaded;
- whether the load can shift or sit off center.
Static, dynamic, and racking ratings should be read against these actual conditions.
3. Support condition
Support changes performance as much as the pallet material. Specify:
- flat floor support;
- block stacking;
- rack beam support and clear span;
- conveyor rollers or chain contact;
- pallet jack or forklift entry direction;
- any wrapper, shuttle, or AS/RS contact points.
Do not compare rack-load claims from different suppliers unless support conditions are comparable.
4. Dimensions and tolerances
Define:
- required pallet footprint;
- maximum height;
- tolerance expectations where equipment fit matters;
- any anti-slip feature required on deck or base.
If the pallet must pass through automation or tight storage geometry, dimensional repeatability is a functional requirement, not a preference.
5. Bottom structure
State the structure you need or the structures you will accept:
- nestable nine-leg;
- three-runner rackable;
- perimeter base;
- double-faced;
- another defined architecture.

6. Reinforcement and stiffness
If rack storage is involved, define reinforcement expectations clearly. Instead of writing “with steel,” state:
- number of reinforcement tubes if required;
- location in deck, base, or both;
- direction of reinforcement;
- any minimum specification the supplier must disclose;
- expected deflection behavior under the defined rack condition.

7. Material route
Ask the supplier to identify:
- HDPE, PP, or another declared material route;
- virgin, recycled, controlled blend, or another stated source;
- any additives or functional modifications that affect the use case;
- whether the production route will match the approved sample.
Do not treat “plastic,” “new material,” and “food-contact capable” as interchangeable claims.
8. Environmental conditions
Include the conditions that can change pallet behavior:
- ambient, cold room, or freezer use;
- outdoor UV exposure;
- washdown, detergent, or sanitizer contact;
- oil, chemical, or spill exposure;
- impact frequency from routine handling.
If these conditions are important, require the supplier to state what is outside recommended use.
9. Testing and evidence
A pallet rating without test context is incomplete. Ask for:
- which tests support the quotation;
- support mode and load condition used;
- temperature and dwell time if relevant;
- deflection or other pass/fail rule where rack use matters;
- whether first-order validation needs witness testing or third-party evidence.

10. Incoming and lot acceptance
Define how delivered pallets will be checked. Typical RFQ language should cover:
- visible defects not accepted;
- sampling method or inspection level;
- dimensional checks;
- any need to compare production lots with the approved sample;
- actions required for non-conforming deliveries.
11. Logistics and lifecycle
Include the commercial-operating details that affect real cost:
- empty nesting or stacking ratio;
- truck or container loading assumptions;
- label, barcode, logo, or traceability needs;
- end-of-life recovery, recycling, or take-back expectations.
12. Commercial terms tied to compliance
Price should be read together with technical compliance. Ask suppliers to show:
- price against the defined specification, not a generic model;
- sample and lead-time terms;
- warranty or replacement scope tied to stated use conditions;
- handling of technical non-conformance;
- Incoterms or landed-cost assumptions.
Red flags that mean the RFQ is still too vague
Pause the comparison if you still see any of these:
- rack-load claims without beam span or support detail;
- material claims without source or route description;
- high load numbers without test conditions;
- “suitable for automation” without bottom-contact review;
- no rule for matching production pallets to approved samples.
These are not minor formatting issues. They are how technically different pallets get compared as if they were equivalent.
Sample-approval checks after quotation
A good RFQ should feed directly into a short sample plan. Before bulk approval:
- load the sample with the actual product footprint and highest regular load;
- test the pallet under the defined support method;
- move it with the real forklift or pallet jack route;
- inspect entry points, runners, corners, and deck contact after handling;
- confirm any nesting, stacking, labeling, or cleaning requirement;
